Digital Inbox Providing Upload URLs for Non-TeamDrive Customers and Business Partners

TeamDrive offers the possibility to configure a digital inbox, which allows non-TeamDrive customers and business partners to upload data to your Space via a URL. The Inbox feature functions as follows: TeamDrive users in an appropriate group can convert any folder into a TeamDrive Inbox. Once the folder has been converted into a TeamDrive Inbox, a direct URL for the folder is created. This URL can then be shared with non-TeamDrive customers and business partners.

When someone wants to send you a file (e.g. job applicants—who are supposed to deliver their applications digitally, photos from an event, etc.) they must simply open the URL in a browser. Upon opening the URL, an upload window, which can also be personalized with your company name, will appear. The sender can then drag and drop the files they want to share with you into the upload window. Additionally, they can add comments to their uploads.

The files uploaded via the browser will then appear in the folder you designated as a TeamDrive Inbox. There is no limit to the amount of TeamDrive Inboxes, that can be configured. Each TeamDrive Inbox can be individually configured with a password, a limit on the amount of files, a limit on the size of the files and an expiration date. The TeamDrive Inbox can also be deactivated at any time.

How to Create an Inbox Folder

To create an Inbox folder, please do the following:

  1. Once your Inbox account has been created, login using your normal account (not the inbox account). You can login using a TeamDrive client, or, a quicker method, using the online WebClient.
  2. Next, create a new Space, or use an existing Space, and create a new folder in the Space. (You can also use existing folders.)
  3. Hover the mouse over the created folder (on iOS and Android swipe the Space from right to left) and click on “i” to open the folder’s “Information” page.
  4. Click on “Create Inbox”, to configure the Inbox.
  5. Once you have configured the Inbox, click on “Create Inbox” to create the Inbox. An Inbox’s configuration can be changed at any time. (Hint: Only members of an account which bought the Inbox can create inboxes)
  6. The Inbox account will then be automatically invited to the Space. The Inbox user will also automatically accept the invitation.
