Hamburg, March 11, 2020 – There is hardly any other industry where more personal data is involved than in personnel consulting. For all personnel consultants, headhunters and executive searchers, who want to ensure with little effort that their data processing complies with the European General Data Protection Regulations (EU-GDPR), the Hamburg-based TeamDrive Systems GmbH recommends its synchronization and data exchange service of the same name (TeamDrive). What sounds complicated is actually quite simple: Every application or personnel file can be automatically received by the Sync&Share service in compliance with the GDPR and provided with the retention periods in accordance with the basic data protection regulation. The service automatically ensures that the data records are stored for exactly as long as the legal situation in Germany requires – and then deleted accordingly.
According to its own statements, TeamDrive not only complies with the applicable data protection regulations, but also ensures compliance with the GoBD. The “Principles for the orderly keeping and storage of books, records and documents in electronic form and for data access” must be observed in Germany in order to meet the requirements of the tax authorities. This by no means only concerns accounting documents in the narrower sense, but without exception all files that have an influence on economic success. This includes, for example, offers, invitations to tender, success agreements, calculations and contracts, and of course the entire accounting system. All these files must be stored in a technically and organizationally unchangeable way. If the tax office finds gaps in the system during a tax audit, it can estimate the company’s tax liability.
Problem zones GDPR and GoBD solved
“TeamDrive eliminates the problem areas GDPR and GoBD, which are a nuisance for every company active in the personnel sector,” says TeamDrive Managing Director Detlef Schmuck. Common programs such as Microsoft Office, Word, Powerpoint or Excel can continue to be used unchanged, the provider stresses. The TeamDrive service automatically ensures that the file system shared by all programs is converted to GDPR and GoBD conformity. This ensures that all documents can be retrieved in accordance with the law, are traceable, unalterable and tamper-proof, says TeamDrive.
High security through backup and encryption
TeamDrive Systems GmbH also cites two further advantages of its own solution. Firstly, a backup is available in the cloud at any time, should the company computer break down or the data on it become unusable, for example as a result of a hacker attack. This is just as useful in the event of a hard drive crash as it is in a so-called ransomware attack, in which a blackmail program only allows the rightful owner to access her data again, after a ransom has been paid. Secondly, all data is stored with end-to-end encryption in a high-security data center in Germany. “End-to-end” means that the data is encrypted in such a way that it appears readable only to the respective personnel consultant herself or her employees. In concrete terms: even if the data is stolen, the data thief cannot decrypt it, i.e. cannot read it. According to its own information, not even TeamDrive possesses digital keys to its customers’ data stocks; this is probably what distinguishes the German provider from all of its US competitors, who are obliged to hand over customer data to US authorities upon request.
